SyncSport Privacy Policy

Effective date: 23 October 2026

This policy explains what information SyncSport ("the app", "we", "us") collects, how we use it, who we share it with, and the choices you have. SyncSport is a team management and tactics app for amateur sports teams, run by an independent developer.

This policy applies to the SyncSport apps for iOS and Android, and to this website and its support pages. By using the app, you agree to this policy. If you do not agree, please do not use the app.

If you have a question about this policy or your data, contact us at support@syncsportapp.com.

Summary

  • We collect what we need to run your account, your playbook and your teams.
  • We don't collect your precise location, your contacts or your advertising identifier.
  • We don't sell your data, show ads or track you across other companies' apps and websites.
  • What you share with a group is visible to that group's members, according to their role.
  • You can download your data or delete your account from inside the app at any time.

1. Information we collect

Information you give us

  • Account details. Your name, your email address, and how you sign in: Sign in with Apple, Google, or your email address with a one-time code. If you use Sign in with Apple and hide your email address, we receive Apple's relay address instead of your real one.
  • Profile photo, if you choose to add one from your camera or photo library. We only access your camera or photos when you pick a photo, and we only upload the photo you select. The app never scans your photo library.
  • Your content. The plays, frames, notes, drawings and playbooks you create, and anything you import.
  • Team information. Groups you create or join, and your role in each one (for example coach or player). It also includes training sessions, matches, opponents, venues, session summaries and coach notes.
  • Player details that you or your coach add to a group roster: jersey number, playing position and availability status (active, injured or unavailable).
  • Attendance. Your replies to attendance requests and availability polls.
  • Support messages you send us.

Information collected automatically

  • Activity in groups. When you open a play shared in a group, we record that you viewed it, so coaches can see which plays their squad has studied.
  • Usage analytics. Which screens you open and actions such as signing up, saving or exporting a play, creating or joining a group, and viewing the upgrade screen. We collect these to understand how the app is used and to improve it. They are linked to an internal account identifier, not to your name or email address.
  • Crash reports, with technical details such as the device model, operating system version and app version, so we can fix problems.
  • Device and app information sent with each request: the app version, the platform (iOS or Android) and an app integrity token that helps us block requests that don't come from the genuine app.
  • App installation identifier, used by our analytics and crash reporting services. It is specific to SyncSport and is not your device's advertising identifier (IDFA on iOS, advertising ID on Android).
  • Push notification token, if you allow notifications, so we can send the notifications you have turned on.

Purchases

Purchases are made through the App Store or Google Play. We never receive your payment card details or billing address. We receive confirmation of what you bought (the product, the purchase date and whether a subscription is active or renewing), so we can unlock the features you paid for.

Sharing and exporting

When you export or share a play outside the app, you choose where it goes using your device's share sheet (for example Messages, WhatsApp or Files). The content then goes to the app or person you chose, and is governed by their privacy policy, not this one.

2. How we use your information

We use your information to:

  • create and secure your account, and keep you signed in;
  • store your plays and sync them across your devices, and restore them if you reinstall the app;
  • run your groups: share plays, schedule sessions and matches, collect attendance and show team analytics to the people allowed to see them;
  • send the notifications you have turned on, such as attendance reminders, schedule changes, member activity and new plays;
  • unlock the features of your plan, and restore your purchases;
  • fix crashes, prevent abuse and keep the service secure;
  • understand how the app is used, in aggregate, so we can improve it;
  • answer your support requests, and send you important notices about your account or this policy;
  • meet our legal obligations.

We don't send marketing emails unless you opt in.

Where the law requires a legal basis (for example in the EU, the UK and similar regions), we rely on:

  • performing our contract with you, to provide the app;
  • our legitimate interests, for security, analytics and improving the app;
  • your consent, for push notifications and access to your camera or photos, which you can withdraw at any time in your device settings;
  • legal obligations, such as keeping purchase records.

3. Who can see your information

Members of your groups.

  • Group members can see your name, profile photo and role, and the plays shared to the group.
  • Depending on the permissions the group owner sets, coaches and other permitted roles can also see:
    • roster details (jersey number, position and availability status);
    • attendance replies;
    • session summaries;
    • which shared plays each member has viewed;
    • team analytics.
  • Your personal playbook stays private unless you share a play.

Service providers who process data for us under contracts that require them to protect it. Each one receives only the data it needs to do its job:

ProviderWhat they do for us

Legal reasons. We may disclose information if the law or a court order requires it, or to protect the rights, safety and property of our users, the public or us.

Business transfers. If SyncSport is merged, acquired or sold, your information may transfer to the new owner, under the same protections as this policy. We'll tell you if this happens.

We do not sell or rent your personal information, share it for cross-context behavioural advertising, use third-party advertising networks, or use your information to track you across other companies' apps and websites.

4. International transfers

Our service providers may store and process your information in countries other than your own, including the United States and the EU. Where information leaves the EEA or the UK, we rely on safeguards such as the European Commission's standard contractual clauses used by those providers.

5. How long we keep your information

  • Account data and content: for as long as your account exists.
  • After you delete your account: we delete or anonymise your personal information on our active systems within 30 days, and it is removed from backups within 90 days. The one exception is purchase records that we must keep for tax and accounting law.
  • Plays you shared in a group are not removed with your account. Group records that don't identify you, such as total session counts, may remain.
  • Analytics and crash data: kept by our providers for up to 14 months, then deleted or anonymised.
  • Content stored only on your device is removed when you delete the app. Deleting the app does not delete your account.

6. Your choices and rights

In the app, you can:

  • delete your account: Profile › Remove Account, or by emailing support@syncsportapp.com. If you signed in with Apple, we also revoke the app's access to your Apple ID. Deleting your account doesn't cancel an App Store or Google Play subscription; cancel it in your store account settings.
  • turn notifications on or off: Profile › Notification preferences, or your device settings;
  • allow or revoke camera and photo access in your device settings. The rest of the app keeps working without it;
  • edit your name and photo in your profile;
  • leave a group at any time.

Depending on where you live, including under the EU and UK GDPR and California's CCPA/CPRA, you may have the right to:

  • access your personal information and get a copy of it;
  • correct inaccurate information;
  • delete your personal information;
  • object to or restrict how we use it, for example for analytics;
  • receive it in a portable format;
  • withdraw your consent where we rely on it;
  • complain to your local data protection authority.

To exercise any of these rights, contact support@syncsportapp.com. We will reply within 30 days. We may ask you to confirm your identity first, for example by writing from the email address on your account. We won't treat you differently for using your rights.

7. Children

SyncSport is meant for coaches, players and team organisers, and is not directed to children under 13 (or the minimum age in your country, such as 16 in some EU countries). We don't knowingly create accounts for children below those ages without the consent of a parent or guardian.

Younger players may only use the app with the consent and supervision of a parent or guardian, for example as part of a club team run by a coach. If you believe a child has given us personal information without that consent, contact us and we will delete the account and its data.

8. Security

We protect your information with:

  • encryption in transit (HTTPS/TLS);
  • encryption at rest and access controls provided by our hosting and storage providers;
  • authenticated access, with backend access limited to the developer;
  • app integrity checks;
  • permission controls inside groups.

No method of transmission or storage is completely secure, so we can't guarantee absolute security. Please keep your sign-in details private and tell us if you suspect your account has been misused. If a breach affects your information, we will notify you as the law requires.

9. Changes to this policy

We may update this policy as the app changes. We'll post the new version at this address and update the effective date. If the changes are significant, we'll tell you in the app or by email before they take effect. If you keep using the app after that, you accept the updated policy.
